One Connected Toolkit for Onsite Managers: Form Manager Now Free, Plus Inspection Manager and a Smarter Verifii

The Form Manager, Inspection Manager and VERIFII screens

Running a management rights business means juggling paperwork, inspections, applications and listings, often across several disconnected systems. At TheOnsiteManager we have spent the past months building tools that remove that double-handling. Today we’re pleased to announce that Form Manager is now free and available to every onsite manager on a current LITE or FULL plan, and to show how it works alongside Inspection Manager, Verifii and our application platform as one connected system.

Form Manager: official forms, filled in for you

Form Manager, at forms.theonsitemanager.com.au, is our official-forms engine. Instead of downloading a blank PDF and retyping details you already hold, you choose a form, pick where the information should come from, check every field, preview the result, then save and download a completed PDF.

Form Manager supports the forms onsite managers use most, including:

  • RTA Form 22 – Rental application
  • RTA Form 1a – Entry condition report
  • RTA Form 14a – Exit condition report
  • RTA Form 9 – Entry notice
  • RTA Form 18a – General tenancy agreement
  • Form 6 – Appointment of agent

Each form is filled using its own field map for that exact official PDF, so the information lands where it should on the current version of the form.

Best of all, there’s nothing extra to pay. If your TheOnsiteManager subscription is current, on either the LITE or FULL plan, Form Manager is included at no cost. Simply sign in with your existing TheOnsiteManager account.

Every action is logged, too. Form Manager keeps an audit trail of documents generated and downloaded, so you have a clear record of what was produced and when.

Inspection Manager: inspections that flow straight into paperwork

Inspection Manager, now in beta for LITE and FULL plan managers, brings property inspections into TheOnsiteManager. It works with your rental and real estate listings.

Here’s where the integration really shines. The rooms and items you record in an Inspection Manager inspection map directly to the fields of the official Form 1a (Entry condition report) and Form 14a (Exit condition report). Enter an inspection ID in Form Manager and those details populate the form for you, ready to check, preview and download. No more transcribing room-by-room notes from a clipboard into a PDF.

Because the feature is in beta, we’re keen to hear how it works in your building. Your feedback will directly shape what comes next.

Verifii and the application platform: from application to RTA form in moments

Verifii (verifii.au) is our tenant application and verification platform, and it now connects directly to Form Manager.

When a prospective tenant applies through Verifii, they consent and submit electronically. Form Manager can then turn that Verifii application into a completed RTA Form 22 using its reference number. Where several people apply together, Form Manager produces one Form 22 per applicant in the group, as the RTA requires, and includes the Verifii reference and submission date.

Anything an applicant provided that doesn’t fit within the RTA form isn’t lost. It’s shown in an annexure, so you keep the full picture. Fields the applicant didn’t supply in Verifii are simply left blank for you to complete.

Form Manager only reads Verifii data and never changes it, so your application records stay exactly as the applicant submitted them.

Working hand-in-glove

The real benefit isn’t any single tool. It’s how they work together. Every form in Form Manager can draw its details from one of four places:

  1. A Verifii application – applicant details for rental applications
  2. A TheOnsiteManager listing – property details you’ve already entered
  3. An Inspection Manager inspection – room-by-room condition details
  4. Your own TheOnsiteManager account – your manager and business details

That means a typical tenancy can move from enquiry to application, from application to RTA paperwork, and from inspection to condition report, with the information captured once and reused wherever it’s needed. Fewer keystrokes mean fewer errors, faster turnaround for tenants and owners, and more time for the parts of onsite management that matter most.
