The Account Manager: TheOnsiteManager’s Industry-First In-House Trust Accounting. Beta Now Underway

The Account Manager trust reconciliation screen

For decades, onsite managers have paid upwards of $270 a month to the industry’s incumbent trust accounting providers just to receipt rent, reconcile a trust account and send owner statements. Today that changes. TheOnsiteManager is proud to unveil The Account Manager, the industry’s first trust accounting system built directly into the platform you already use to list, lease and manage. And it will be free of charge for onsite managers during the beta and at launch.

The beta program is underway now, and we want six managers to help shape it.

Your trust account, your money, our software

Every manager keeps their own trust account at their own bank. Refreshweb never holds, touches or moves client money. The Account Manager reads your bank feed and does the bookkeeping, so the money stays exactly where the law says it belongs. Onsite managers act as legally authorised agents of the agency TheOnsiteManager, and The Account Manager has been designed around that structure from day one.

What it does

  • Live bank feeds via Basiq from more than 50 Australian banks, including the Big 4, BOQ and Suncorp.
  • Automatic rent matching: every deposit is matched to the right tenancy, so you instantly see who is paid up, in arrears or ahead.
  • Owner and tenant ledgers backed by a proper double-entry journal.
  • Rent schedules synced automatically from your TOSM listings and VERIFII applications. No retyping.
  • Monthly three-way trust reconciliation with a formal month-end close.
  • Owner statement PDFs generated in one click.
  • Arrears reminders linked to Form 11 (Notice to Remedy Breach) in The Form Manager, prefilled and ready to issue.
  • Reports for managers, accountants, owners and tenants.
  • Locked receipts and a full audit trail, so nothing can be quietly changed after the fact.

Reconcile in minutes, not hours

Month-end used to mean a weekend with spreadsheets. The Account Manager lines up your bank statement, cash book and ledgers in a three-way reconciliation, flags anything that doesn’t balance, and lets you close the month with confidence. Owner statements are then a single click away.

Arrears handled, start to finish

When a tenant falls behind, The Account Manager tells you straight away. Reminders appear in your notification bell and dashboard, and one click opens Form 11 in The Form Manager with the tenant, property and amount already filled in. The Form Manager even checks that the remedy date is legally valid before you issue it.
